Meeting & Training Room Policies


Please be advised that the library will have first choice for dates & times for the Meeting/Training Rooms for library events.

All Library rooms are NOT available for commercial endeavors and/or any meeting held to advertise any product or commercial service.

Room setup for groups smaller than the required minimum attendance is not cost-effective. If your meeting or event consistently draws fewer than the minimum attendance, you will be notified asked to find an alternative location to meet.

Meeting Rooms

The Lakeland Public Library Meeting room use is designed for groups of 10 or more with a maximum of 80. 

The Larry R. Jackson Branch Library Meeting Room use is designed for groups of 5 or more with a maximum of 50.

Applications

Applications to use the room may be made in person, by phone or online.

Incomplete applications will not be accepted. Groups who do not provide a completed application will not be permitted to use the room, regardless of the calendar availability.

Policy

All requests to use the meeting room must be completed and returned within two weeks of booking an event.

All persons using this room are considered guests of the Lakeland Public Libraries and as such are expected to abide by the policy guidelines below: 

  1. Library meeting rooms are NOT available for commercial endeavors and/or any meeting held to advertise any product or commercial service.
  2. Your organization may have only three (3) confirmed bookings on the calendar at any given time.
  3. ALL meetings are OPEN to the public and must be held under the auspices of a responsible organization that assumes complete responsibility for the character of its meeting or program.
  4. NO attendance fees may be charged; NO money taken (including dues); NO sales may be made. Failure to comply will result in immediate suspension of meeting room use.
  5. ALL meetings and programs will be held during regular library hours, and shall be over at least 10 minutes prior to scheduled closing of facility.
  6. NO physical changes may be made in the rooms except for the re-arrangement of chairs and tables already in place for the meeting. Equipment, including the room’s piano and items on display are not to be disturbed.Users will be held responsible for all damages to the room and to its furnishings.
  7. Activities involving more than normal wear of the library’s facilities and equipment will not be permitted. Users will be held responsible for any damages to the room, the equipment and the kitchen.
  8. Children must be supervised at all times by a sufficient number of responsible adults provided by the sponsors of the activity.
  9. No alcoholic beverages are allowed in the library.
  10. The library reserves the right to have a member of staff present at any scheduled event.
  11. The meeting room kitchen may be made available and light refreshments may be served when permission is requested and approved at the time the meeting room application is submitted. Groups that use the kitchen are responsible for cleaning after use. Please remember to remove all ice bags, condiments, and leftovers when leaving.

Failure to abide by the policies outlined above can result in loss of privileges to reserve the space.

 Training Room

The Lakeland Public Library's Training room is designed for a groups of 3 or more with a maximum of 8.

Policy

All persons using this room are considered guests of the Lakeland Public Library and as such are expected to abide by the policy guidelines below:

  1. The library training room is NOT available for commercial endeavors and/or any meeting held to advertise any product or commercial service.
  2. People / organizations may have only three (3) consecutive hours per reservations and may have only three (3) confirmed bookings on the calendar at any given time.
  3. ALL meetings are OPEN to the public and must be held under the auspices of a responsible organization or a person who assumes complete responsibility for the character of the meeting or program.
  4. NO attendance fees may be charged – no collection taken – and no sales may be made.
  5. ALL meetings and programs will be held during regular library hours, and shall be over at least 10 minutes prior to scheduled closing of facility
  6. No physical change may be made to the room except for the re-arrangement of the eight chairs that are already in the room. Users will be held responsible for all damages to the room and to its furnishings.
  7. Drinks with lids are permitted.
  8. The library reserves the right to have a member of staff present at any scheduled event.
  9. Users may bring their own laptops and other equipment for use in the room. Please remember to remove equipment from the facility after use.

Failure to abide by the policies outlined above can result in loss of privileges to reserve the space.

Tutor Rooms

The Lakeland Public Library and the Larry R. Jackson Branch Library have tutor rooms available to the public.

Policy

All persons using this room are considered guests of the Lakeland Public Libraries and as such are expected to abide by the policy guidelines below:

  1. The library tutor rooms are NOT available for commercial endeavors and/or any meeting held to advertise any product or commercial service.
  2. People / organizations may have only three (3) hours reserved per day and may have only three (3) confirmed bookings on the calendar at any given time. Reservations may be made one (1) week in advance.
  3. ALL sessions are OPEN to the public and must be held under the auspices of a responsible organization or a person who assumes complete responsibility for the character of the meeting.
  4. NO attendance fees may be charged – no collection taken – and no sales may be made.
  5. ALL sessions will be held during regular library hours, and shall be over at least 10 minutes prior to scheduled closing of facility
  6. No physical change may be made to the room except for the re-arrangement of the chair(s) that are already in the room. Users will be held responsible for all damages to the room and to its furnishings.
  7. Drinks with lids are permitted.
  8. The library reserves the right to have a member of staff present at any scheduled event.

  10. After 2pm, only adults assisting children/teens may reserve the Youth tutor rooms.
