RESPONSIBILITIES OF BIDDERS

Bidders can avoid misunderstandings, disqualification and even legal problems by understanding their responsibilities in the purchasing process.

A bidder is responsible for the following:

·        Timely response to a bid.

·        Careful examination of bid documents and for complying with all requirements of the bid documents.

·        Notifying the Purchasing Manager immediately of any errors in bid documents.

·        Complying with all City purchasing procedures.

·        Performing the work or delivering the product exactly as promised.

·        Notifying the Purchasing Division of any delivery or manufacturing problems, which were not reported before the bid award.

·        Advising the Purchasing Division of any address changes to expedite the receipt of bid invitations or payment for goods/services received.

·        Notifying the Purchasing Manager of any problem as to why his/her product may be unsuitable for the use intended by the City’s specifications.

·        Engaging in an ethical, professional and businesslike manner in all dealings with The City of Lakeland.

·        Ensuring that they are on every applicable bid list for their products or services, and for checking posted “Bid Invitations” at City Hall, in the Purchasing Office, or on the Purchasing Website.
